Archivesystems.com ("Archive Systems, Inc.' or the "Company') is committed to
protecting our customers' information. In the course of providing users with
Archive Systems, Inc. imaging services, the Company needs to collect and store
certain nonpublic information. The Company collects and stores two types of
information about customers and prospective customers, personally identifiable
information ("Personally Identifiable Information'), which includes e mail
addresses and billing information, and confidential information ("Confidential
Information') of our customers that they store on our servers and access through
our Website.
Archive Systems, Inc. abides by the principles set forth in the Safe Harbor
framework as set forth by the U.S. Department of Commerce regarding the
collection, use, and retention of data from the European Union. Archive
Systems,Inc..com is a licensee of the TRUSTe Privacy Program. TRUSTe is an
independent, non-profit organization whose mission is to build users' trust and
confidence in the Internet by promoting the use of fair information practices.
Because this web site, www.archivesystems.com, wants to
demonstrate its commitment to your privacy, it has agreed to disclose its
information practices and have its privacy practices reviewed for compliance by
TRUSTe.
If you have questions or concerns regarding this statement, you should first
contact privacy support. If you do
not receive acknowledgment of your inquiry or your inquiry has not been
satisfactorily addressed, you should then contact TRUSTe http://www.truste.org/consumers/watchdog_complaint.php.
TRUSTe will then serve as a liaison with the Web site to resolve your concerns.
- Security. Appropriate safeguards have been implemented to ensure the
security, integrity and privacy of Personally Identifiable Information. We
maintain physical, electronic, and procedural safeguards to guard Confidential
Information. We protect that information by placing it on the secure portion of
our Website. Our servers have been enabled with Secure Sockets Layer (SSL)
technology to prevent unauthorized parties from viewing Confidential Information
that a customer provides or accesses during a secure session. This is why each
customer shall assign to each of its users a unique user name and password to
use each time such user accesses such customer's Confidential Information. In
addition, we employ VeriSign's digital certificate services to authenticate that
a customer is transacting with Archive Systems, Inc..
Access to a customer's Confidential Information and Personally Identifiable
Information is limited to those employees who need to know that information to
provide products or services to you, such as customer service personnel. Archive
Systems, Inc. conducts internal audits of its business practices and procedures
in order to protect customer information.
Customers need to take steps to maximize their security online and to protect
their Confidential Information. Customers need to protect their user names and
passwords and ensure that their users never share their password with anyone,
and change their passwords periodically. Customer's can change their user names
and passwords at any time through the Set Passwords & Features link under
the User Admin tab. When using the Archive Systems, Inc. Website, each user
should always exit by using the "LOG OFF' button located at the top of every web
page or close their browser completely. Additional tips can be found on the

- Collection. Personally Identifiable Information will only be
collected to the extent that Archive Systems, Inc. deems reasonably necessary to
serve a legitimate business purpose.
The Company uses "cookies'. "Cookies' are elements of data that a Website can
send to a user's browser and store on a user's computer. Cookies do not contain
personal information about a user. Cookies can note that a user's browser was
used to visit certain sites, pages, or advertisements on a certain date. Archive
Systems, Inc. uses cookies to enhance navigation and functionality of its
Website. The Company also uses cookies to let it know how visitors are using its
Website, so that it can improve its Website and a user's experience on it. Users
do have control over cookies. Most browsers can be set to notify a user when a
cookie is being placed on its computer. A user can also set most browsers to
refuse to accept cookies, although this may affect a user's Internet experience.
A user can also erase cookies that are already on its computer. For more

- Notification. Users will be notified (usually at the point where
Personally-Identifiable Information is collected) as to any uses the Company may
make of the Personally-Identifiable Information collected from them. The Company
does not use a customer's Confidential Information except in connection with
providing services to such customer.
- External Distribution of Personally Identifiable Information and of
Confidential Information . The Company does not externally distribute
Personally-Identifiable Information or Confidential Information, except if a
customer specifically requests that certain of its Confidential Information be
distributed to a third party or sharing Personally-Identifiable Information with
a third party working on behalf of the Company to serve our customers. External
distribution does not include certain limited distributions such as transfer of
Personally-Identifiable Information and Confidential Information in connection
with the sale of the Company or its assets or the merger of the Company or the
disclosure of Personally-Identifiable Information and Confidential Information
in connection with legal proceedings, investigations of crimes, or other
governmental investigations. Transferring Personally-Identifiable Information
and Confidential Information in connection with a sale or merger and sharing
Personally-Identifiable Information with an entity is considered an Onward
Transfer to third parties and will be handled as described below.
- Onward Transfer. The transfer of Personally-Identifiable Information
and Confidential Information to a third party in connection with a sale of
assets or of the Company or a merger involving the Company shall only be to a
third party that (i) subscribes to the safe harbor principles of the U.S.
Department of Commerce or is subject to the European Commission's Directive on
Data Protection, or (ii) has entered into a written agreement with the Company
requiring that such third party provides at least the same level of privacy
protection as is required by the safe harbor principles. Users will be
notified via prominent notice on our Web site for 30 days prior to a change of
ownership or control of their personal information. See also 9. Binding
Agreement; Changes.
- Access; Removal, Review and Correction. Customers can, by e mailing
the Company at inforequest@archivesystems.com,
remove, review and correct the Personally Identifiable Information that has been
collected from them by the Company. The Company uses reasonable measures to
check that Personally Identifiable Information is reliable for its intended use
and is accurate, complete, and current. Modifications to Personally Identifiable
Information will be updated within 10 business days. Confidential Information
of a customer is owned by such customer, which is responsible for checking its
accuracy, completeness, and timeliness. Prospective customers that would like
to update their personal information or who do not wish to be contacted by
Archive Systems, Inc can have their information removed and/or updated by
emailing us at inforequest@archivesystems.com.
Please allow 10 business days for removal and/or updates to be performed.
- Review. To ensure that the Company follows this Privacy Policy, the
Company shall conduct periodic and random reviews of the Company's compliance
with this Privacy Policy. The results of these reviews will be shared with
senior management of the Company.
- Employment Inquiries. The Company uses the resumes and information
submitted to the Company to determine whether or not a user's employment inquiry
will be given consideration for employment openings at the Company. This
information is submitted via email.
- Binding Agreement; Changes. Any user that accesses all or any part of
this Website agrees that such user is at least eighteen (18) years old and that
such user has consented to this Privacy Policy. Each time a user accesses this
Website, this Privacy Policy should be reviewed because the Company reserves the
right to change this Privacy Policy from time to time, provided that such
changed Privacy Policy complies with the safe harbor principles. If we make any
material changes in our privacy practices that affect user information already
stored in our database, we will post a prominent notice on our web site
notifying users of the change. You will have a choice as to whether or not we
use your information in this different manner. Changes to our Privacy Policy
will comply with the safe harbor principles.
