With Archive Systems Solution, Paper File Storage Reduced by Over 2,000 Pages per Day
FAIRFIELD, NJ (July 31, 2001) - Since going online
with an Internet-based document imaging and storage solution from DocuLogic of Fairfield,

the need to prepare paper files for any new merchant. ECHO provides debit, credit card
and various check processing services to over 60,000 retail merchants in the United States.
DocuLogic uses a browser-based interface to collect and securely store images of all
merchant files generated by the company.
Using the DocuLogic system, the data management department of ECHO
has cut its paper file storage by about 2,000 pages per day and reduced employee filing
time by about 25 hours per month. ECHO scans its new merchant files and downloads them to
DocuLogic, which stores the clients data on a secure server thats protected by an
industry-leading firewall technology. The DocuLogic system allows ECHO employees to access
any merchant file in the database through a password-protected web site.
Because the DocuLogic system uses industry standard tools and a
browser-based interface, ECHO did not have to invest in any additional technology to
adopt the system. We wanted a simple system that would mimic a file cabinet and paper
in the cabinet," says Vince Lombardo, Manager, Data Management Department at ECHO. "Our
people can conduct their jobs more efficiently because they dont need to spend time
sorting and filing paperwork. We were able to implement the DocuLogic system in just
two days because there was no new technology to install and learn, he adds.
After just two months of service, the DocuLogic system, that occupies
the space of a desk-top, has allowed ECHO to reclaim a large file room formerly dedicated
to multiple filing cabinets full of new merchant files. After seeing the ease and the
benefits of new merchant file automation, ECHO is aggressively converting its complete
set of merchant files to the DocuLogic system which will result in further space and
time savings.
ECHO is also adopting a DocuLogic imaging system to store chargeback
files from its clients. The system will eliminate the need for the chargeback department
to make a copy of everything it mails to a merchant. ECHO employees can simply retrieve
the file and print what they need.
How the DocuLogic System Works for ECHO
A file for each merchant applying for credit or check processing services can include
up to 150 pages. Previously, ECHO employees had to make photocopies of every document to
produce a duplicate file for on-site storage, sending the original file to its sponsoring
bank.
Using the DocuLogic imaging system, an ECHO employee working at a
PC simply enters the file number, a merchant number, and a merchant name and then passes
the contents of each file through a sheet-fed scanner. It takes an ECHO employee less
than two minutes to process each complete file. At the end of each day, the employee
simply mouse-clicks a DocuLogic icon on the PC screen to initiate the download process
that sends the days complete files to secure servers at DocuLogic. The next day, the
files are easily accessible and searchable by file number, merchant number, or merchant
name.
Company-Wide Benefits
The benefits of the DocuLogic system are spreading throughout ECHO. "As time goes on and
we add to the database, the improved efficiency is going to help other departments," says
Lombardo. Before, other departments would request files from the data management
department. In some cases, that required an employee to go to the bank to get the file
information, which could add a one-day delay.
Now, licensed users in other ECHO departments can access the files
right from a PC. Any changes made to a file and scanned into the system become part of
the appropriate database merchant file. DocuLogic is also creating a closed-account
database for ECHO that will eliminate another 25 file cabinets worth of documents and
the need to store copies of closed account files going forward.
